I. CONFERENCE CONCEPT NOTE, BACKGROUND, AND AGENDA

III. SCHEDULE OF THE CONFERENCE

The conference will run from 8:00 in the morning to 5:00 in the afternoon (GMT+7/ Timezone in Indonesia) each day from 6 to 8 November 2023.

IV. PARTICIPANTS

The participants of the conference will consist of representatives from the government (usually health ministries), academe, civil society, and development partners. We anticipate 150 local participants from our local co-hosts (Indonesian Ministry of Health, BPJS-Kesehatan), representatives from universities, associations, and other agencies, as well as 150 international participants from AeHIN governing committee, AeHIN working council, AeHIN secretariat, and development partners/agencies.

V. ACCOMMODATION AND AIRPORT TRANSFERS

AeHIN does not provide airport-to-the-venue transport and vice-versa for self-funded delegates. Participants can book airport transport using public transportation, including Transjakarta and Commuter Train, or online transportation services such as Grabcar or Gojek.

Upon arrival at the Soekarno–Hatta International Airport, to transfer to your hotel:

  • Take a taxi => You can go to their booth available at the arrival gate and book a car to JS Luwansa (or another hotel you booked for accommodation). The estimated cost is 19.02 USD – 28.52 USD (300,000 – 450,000 IDR)
  • Book airport transport using public transportation, including Transjakarta and Commuter Train
  • Book online transportation services such as Grabcar or Gojek => You can install the application or go to their booth available at the arrival gate and book for car to JS Luwansa (or another hotel you booked for accommodation). The estimated cost is 19.02 USD – 28.52 USD (300,000 – 450,000 IDR)
  • Book an airport transfer from the hotel you are staying in. If you are staying in JS Luwansa, you may contact (+62) 2954 3030 or e-mail reservations@jsluwansa.com and provide details of arrival and departure times to the hotel. After that, the hotel will coordinate your vehicle request and provide you with a confirmation letter. After receiving the confirmation letter, you can go straight to the Golden Bird booth by attaching a confirmation letter from the hotel. The fee charged is 25 USD (396,000 IDR) net one-way

VI. AIRFARE

Participants will arrange and shoulder the cost of their airfare to Jakarta.

VII. INSURANCE AND EXCESS BAGGAGE

AeHIN does not provide insurance for its participants. It should be noted that AeHIN will not be held liable or responsible for any claim arising out of death, injury, sickness, or other disability. Similarly, excess baggage charges or charges for baggage insurance are participants’ responsibilities. Likewise, the organizers do not reimburse taxi charges, airport taxes, porterage, and expenses incurred in obtaining visas and passports. 

VIII. VISA APPLICATION (FOR NON-INDONESIAN PARTICIPANTS ONLY)

For your convenience, Indonesia offers an E-Visa or E-Visa On Arrival (E-VOA) mechanism for many countries. For E-VOA applications, having a guarantor is not needed, and the length of stay is 30 days. For E-Visa, there should be a guarantor (guarantor’s details available in the guideline), and the length of stay is 60 days.

Please ensure that you check the eligibility of your country and follow the guidelines diligently.

IX. SUBSISTENCE ALLOWANCE

Participants will arrange and shoulder the cost of their allowance during the conference.

X. FOOD

Lunch and snacks will be provided during the conference from 6 to 8 November 2023. For November 9, 2023, only snacks will be provided during site visits. 

XI. INTERNET ACCESS

WI-FI internet facility is available at the conference venue. Log-in details will be provided on-site. 

XII. ELECTRICITY

Plug type C with two round pins is the plug type most commonly used in Indonesia. Indonesia operates on a 220V supply voltage and 50Hz. Please bring your own adapter.

XIII. CLIMATE

November is predicted to be the early rain season in Indonesia, with an average temperature varying between 24.9°C (76.8°F) and 30.7°C (87.3°F). Business clothing in comfortable, lightweight fabrics is suitable during the conference.
